Wedding coffee carts are priced differently than corporate events at the same guest count. A reception moves at a slower pace than a conference break, guests arrive at the bar in waves rather than all at once, and service is spread across the evening. That changes what your event actually requires.

Your guest count and your bar count aren’t always the same number

At most weddings, not every guest visits the coffee bar. Some couples account for that by giving us roughly 80% of their expected attendance rather than the full number, which brings the beverage fee down.

Two things to weigh before you do that.

Don’t reduce your count if coffee is central to your celebration. Some receptions are built around the espresso bar rather than treating it as an add-on — we’ve served many Italian and Middle Eastern weddings where the bar ran non-stop. If that sounds like your guests, give us your full attendance number — and let us know your guests are espresso lovers!

If you estimate low and you’re wrong, the bar closes early. We bring supplies for the count you give us. When milk and product run out, service ends — and there’s no restocking mid-reception. The savings aren’t worth the risk if you’re unsure.

How Is Coffee Cart Pricing Calculated?

Every quote is built from four parts. Knowing what each one covers makes it easier to compare vendors and see where your money goes.

Booking Fee

Covers administrative staff, operating costs, license fees, commercial insurance, tech fees, equipment, pre-event preparation, and setup. It varies with location, duration, menu options, and setup requirements.

Beverage Fee

Charged per person, not per drink, and calculated from the menu items you choose. As with food catering, it’s based on guest count so we arrive prepared to serve everyone. See the full bar and menu options.

Barista Fee

Staffing is a separate charge. Our baristas are paid well because we want their loyalty — and because they work hard. Most of our team has been with us for years. Staffing levels are based on your guest count and menu, and sometimes location factors in as well.

Travel Fee

Applies if you’re outside our Greater Cleveland service area. If accommodations are needed, the actual cost is included in your quote. We don’t upcharge travel.

The only thing we need from you is power to run our equipment.

What Goes Into Running a Mobile Coffee Bar

Running a mobile coffee bar for events is no small task. It starts early in the morning — sometimes 3 or 4 a.m. — long before the first cup is served.

Mornings begin with prepping ingredients. Every event requires transporting equipment, hauling water, and managing supplies, with load-in often in unpredictable weather or tight spaces.

Unlike a chain coffee shop, we’re built to serve large crowds quickly, so every detail has to be dialed in from the start.

Because event work isn’t always predictable, keeping a reliable team is challenging — which is why we pay our baristas well. They handle the heavy lifting, setup, and breakdown while delivering quality service under tight time constraints.

After the event, the work isn’t over. Everything is packed up, hauled back to the warehouse, sanitized, and restocked for the next event.
